Refund & Cancellation Policy

Karmion Grid sells professional consulting services, not physical products. This policy explains how cancellations, rescheduling, and refunds work for our engagements, so there are no surprises on either side. The specific terms of your project are confirmed in your engagement agreement; this page describes our general approach.

01 How our engagements are structured

Most of our work is fixed-scope and fixed-fee. Before a project starts, we agree in writing what will be done, what you will receive, the timeline, and the price. Some engagements are billed on a time basis at an agreed rate. The structure that applies to your project is stated in the engagement agreement.

02 Deposits and scheduling

For fixed-scope engagements we typically take a deposit to confirm the booking and reserve the time in our schedule. The deposit secures your start date and covers the planning and preparation that begins as soon as the engagement is confirmed.

03 Cancelling before work begins

You may cancel a confirmed engagement before work begins by notifying us in writing. Because confirming a booking commits time we could have offered elsewhere, the following applies unless your engagement agreement states otherwise:

  • Cancellation seven or more days before the agreed start date: the deposit is refundable, less any preparation already carried out at your request.
  • Cancellation fewer than seven days before the start date: the deposit is non-refundable, as the reserved time can rarely be reallocated at short notice.

04 Cancelling after work has started

If you end an engagement after work has begun, you are responsible for the fees corresponding to the work completed and the costs reasonably committed up to the date we receive your written notice. Where you have paid in advance, we calculate the value of work delivered and refund any unearned balance. Where the work delivered exceeds amounts paid, the difference is invoiced.

For time-based engagements, you are billed for hours worked up to the point of cancellation.

05 Rescheduling

We understand that priorities shift. If you need to move the start date or pause an active engagement, contact us as early as you can and we will do our best to accommodate it. Rescheduling requested with reasonable notice does not normally carry a fee. Repeated or last-minute changes may affect the timeline and, in some cases, the fee, which we will always confirm with you first.

06 If we cancel

In the unlikely event that we must cancel a confirmed engagement before completion for reasons within our control, we will refund any fees paid for work not yet delivered, and we will help you arrange an orderly handover of any work in progress.

07 When refunds do not apply

Because our deliverables are bespoke professional work prepared specifically for you, fees for work that has already been completed and delivered — for example, a finished audit report or a completed set of documentation — are not refundable. We do not offer refunds based on disagreement with our professional findings or because the advice was not the answer you hoped for. If you believe a deliverable does not match the agreed scope, see the next section.

08 If something is not right

If you feel a deliverable falls short of what we agreed, tell us promptly and in writing, with specifics. Our first commitment is to put it right: we will review the work against the agreed scope and, where it genuinely falls short, correct or complete it at no additional cost. We would much rather fix the work than argue about a refund.

09 How to request a refund or cancellation

To cancel an engagement or request a refund, contact us in writing using the details below. Please include your name, your company, and a short description of the engagement. We will acknowledge your request and respond with the applicable figures within a reasonable time. Approved refunds are issued to the original payment method.
